ClaraDocs provides AI-powered document collection software for Canadian CPA firms. Privacy Officer: Schway Tech & Consulting Inc., privacy@claradocs.ca.
Account data: firm name, contact name, email address, billing information.
Usage data: document request metadata (client names, file names, timestamps). We do not store client financial documents — these go directly to your Google Drive.
Communications: support emails and messages.
To provide the service, process payments, send transactional emails, improve the product, and comply with legal obligations. We do not sell your data. We do not use it for advertising.
Email content (e.g. "generate a document request for John Smith") is processed by Anthropic's Claude API (US-based). Anthropic does not train models on API data. This constitutes a cross-border transfer under PIPEDA and Quebec Law 25. By using ClaraDocs, you consent to this transfer under appropriate safeguards.

Account data: retained while your account is active + 90 days.
Audit trail metadata: 6 years (CRA IC05-1R2 requirement).
Billing records: 7 years (tax law).
You have the right to access, correct, or delete your personal information. Quebec residents have additional rights including data portability and the right to be informed of automated decision-making. Contact privacy@claradocs.ca.
We use essential cookies only (session management). No tracking or advertising cookies. You may disable cookies in your browser settings.
In the event of a breach posing real risk of significant harm, we will notify the Office of the Privacy Commissioner (PIPEDA) and, where applicable, the Commission d'accès à l'information (Quebec Law 25) within 72 hours, and affected individuals without undue delay.
